Terms and Conditions


Please note all these prices are subject to change. There will also be an additional charge for single room occupancy and possible charges for some of the sight-seeing packages.  There maybe additional charges for the occupants of the rooms which are under their full capacity.

CURRENCY: The official currency of the Republic of Turkey is the New Turkish Lira (“NTL” / in Turkish Yeni Türk Lirası “YTL” ) but all packages are also payable in Euros

PAYMENT PHASES: Phases relate to the date of payment, not the date of registration (for example, if a delegate registered on the 1 Jul 2008 , but only paid on 14 Feb 2009 - they would pay the 3rd Phase price.
All reservations will only be fully confirmed once payment has been received.
All packages subject to availability.
NAME CHANGES: If you can no longer use your package, you can transfer it to another person. Name Change transactions will be charged at Euro 20 per change. Please contact the organisers to perform a name change.
CANCELLATION POLICY: Cancellation must be made by emailing to info@euco2009istanbul.org and then in writing by way of a formal letter to the address at the end of these conditions. The following cancellation fees will be levied:

Under 8 weeks of arrival date: 2/3 of registration fees

Under 2 weeks of arrival date: 100% of registration fees

REFUNDS: Refunds will be paid at the discretion of the  Organizatian Committee .Refunds may only be paid to delegates from Rotaract Europe member countries, will only be paid if the project breaks-even financially; and all refund payments will be processed after 01 June 200 9)
ROOM PREFERENCE: We cannot guarantee the room type you select due to restricted vacancies at the ho tels, but we will do our best to meet your preference.
ALLOWANCES: No allowances can be made for meals not taken during the stay or if departure is made before the end of the stay booked.
PROPERTY & VALUABLES: The conference nor the ho tel accommodation can accept responsibility for the loss of or damage to delegates' property. Delegates are advised that any valuables should be locked in a safety locker.
MISCONDUCT: Organization Committee reserves the right to ask a delegate to leave the premises should the delegate be unable to correct any aspect of poor or unacceptable behavior. No refund will be given.
DAMAGES: Organizatian Committee reserves the right to ask delegates to pay for any damages caused to any venue property or conference equipment.
PHOTOGRAPHY: Throughout EUCO a photographer will be present taking photos of each activity. Organizatian Committee will also be in charge to provide the videoing of each aspect of the conference. All photography and videography may be used for future PR purposes provided that the prior consent of the Organizatian Committee is taken.
CHECK-IN/OUT: Rooms are available from 2:00pm on the day of arrival and MUST be vacated by 10:00am on the day of departure.
ROOM KEYS: If you loose your room key you will charged € 10 for a replacement.
NOISE: The ho tels are located in residential areas – please keep the neighbours happy and keep noise down at all times but particularly after 10pm.
SMOKING: You are not permitted to smoke inside any of the venues used during EUCO 2009 , this is illegal and is subject to fine in the Republic of Turkey. Please note that it is also not permitted to smoke in the open and closed parts of the restaurants and cafes in shopping malls, in cabs and also in any type of the public transportations within the borders of Republic of Turkey.
All delegates must be at least 18 years of age by 29 th April 2009 and a member of the Rotary Family.
The Organizatian Committee reserves the right to alter details of these General Terms and Conditions regarding accommodation, meals , conference or sightseeing tours without notice.
